2024 Annual Meeting

By the People, For the People: Increasing Access to State and Territorial Records

Join your CoSA colleagues for an engaging time of conversation and collaboration! The 2024 Program Planning committee is meeting regularly and shaping the theme and content of our gathering. They'll be looking to hear from you - do you have a project to share, a question to ask, a problem to solve? We have free reign of the hotel space allowing us to think creatively about how we meet and learn together. Expect a call for proposals soon!


Call for Proposals

For the first time the Council of State Archivists (CoSA) is hosting its own conference for state and territorial archivists and archives staff. We want this to be a dynamic opportunity to have conversations around issues that are unique to State and Territorial Archives. The theme this year focuses on accessibility, and we hope you will consider broad questions around access. What issues do state and territorial archives have with physical accessibility? What technologies are we using to make records available? How do you deal with statutory restrictions on access? How can collections policies, retention schedules, or deaccession policies help increase access? What outreach programs have been successful at promoting the Archives? Share your experiences in these areas or your own examples on improving access.

We strongly encourage you to partner with other state or territorial archives to collaborate on a panel or present individually. Please use this Google Sheet if you’d like to work on collaborating on a session.

The deadline for submissions is April 19, 2024. Please submit proposals electronically via this online form. Proposals should include:

  • Presenter(s) name, job title, institution/organization, and email address
  • Title of proposed session (If proposing multiple presenters, include a title for each presentation)
  • Brief (50-250 word) abstract of session to be used in conference program.
  • Preferred format (select all that apply): presentation, panel, lightning talks, roundtables, workshop, or other (please specify)
  • Length of presentation (30 minutes or 45 minutes)

Notifications of acceptance will go out early May.

CoSA Silent Auction

Previous silent auctions have been a key fundraiser for CoSA educational activities and this year we’re aiming for similar success in St. Louis, but we need your help providing auction items!

To help make this year another success, here are some helpful tips for popular auction items:

  • Think small - items that are easy to pack in carry-on luggage or easily consumed in the course of the meeting
  • Share a taste of your state - what food items are unique and special to your state?
  • Share your state's unique stories, history, food, or drink with your colleagues!
  • Snacks and small bottles of alcohol are always popular items!

Please complete the CoSA Silent Auction Donation form and include it when submitting your silent auction item(s).

Support for Travel to the CoSA Annual Meeting

For the 2024 Annual Meeting, the following travel support with be offered to individuals working at CoSA member institutions:

  • Sustainer/Level 1 ($5000)
    • 2 complimentary registrations
    • Up to $1800 travel stipend (attendance requirements forthcoming)
  • Contributor/Level 2 ($3025) and other paid levels
    • 1 complimentary registration
    • Option to apply for travel stipends

A limited number of travel awards are also available through the generous funding of Ancestry and Atlas. Details on how to apply for those are forthcoming.

Those in the territories and participating under the IMLS funded AWARE project will be provided with specific instructions for their travel.

The CoSA Travel Reimbursement Policy is currently under review for 2024 and instructions for travel stipends will be determined by the Board. Questions may be directed to info@statearchivists.org.
