ARM Survey FAQ

Now that we are a few weeks into CoSA’s biennial Archives and Records Management survey collection, some Frequently Asked Questions have emerged.

Where are my surveys?

Several states have had issues with the SoGo Survey emails going to spam or junk mail folders. If you have not received six emails with links to the surveys, check there. If you still can not find them, check in with Veronica Martzahl at veronica.martzahl@gmail.com.

Things are crazy right now with COVID-19, elections, and natural disasters. Why does Veronica keep bothering me to see if I have received my surveys?

With so many states having their surveys sent to spam or junk mail, it is hard to tell if the surveys are lost or if things are just busy and you’ll get to them as soon as you can. If there is a technical issue, CoSA wants to get on top of it ASAP, so you have as much time as possible to complete the surveys.

I’m having trouble with some of the questions. Where do I go for help?

There will be two upcoming “Virtual Office Hour” sessions via Zoom to ask questions about the surveys, the SoGo Survey tool and the reporting process. The email with the Zoom link will be sent to the list of survey recipients on Monday, September 28th. If you are not the primary contact for your state or territory’s survey, but would like the link, send Veronica an email to request it.

How can I look at the survey template?

The templates for the surveys are available on the CoSA website. The Records Management Only survey is not currently posted, but is available upon request.

I started a survey, but do not have time to finish it now, is there a way of saving the survey to return to it later?

Yes, make sure to check out the footer on each page of the surveys. There is an option you can select to “Save and continue later.” If you are stepping away from your survey, be sure to click this text to save your work.

Do saved rankings reorder themselves?

In Survey 4, you are asked to rank your priorities and your challenges. If you save this survey to continue it later, the responses will reorder themselves from 1 to 10.

I have submitted a survey, but I need to make a change. What can I do?

Unfortunately, the type of survey link that was sent out does not support reopening a submitted survey. However, data can be modified on the backend. If you have changes you would like to make, email the data to Veronica and she will make the updates.

When are the surveys due?
